DGS 2027 Spring Volunteer Policy

Dixon Girls Softball (DGS) relies on the support of our Board members, softball families, and community volunteers. As a volunteer-run, nonprofit league, we depend on our families to help keep the league operating smoothly and registration costs as low as possible, while also paying for league expenses like Field Lighting, Equipment and other things.

The Board has explored different ways to ensure DGS receives the volunteer support needed to run a successful season without placing additional financial stress on our families. Following a Board meeting this month, the Board voted to implement a new volunteer process beginning with the 2027 Spring season, which eliminates the previous $300 Volunteer Good Faith Deposit.

New Volunteer Policy

Once registration closes and the number of teams has been determined, the Board will select the Head Coach for each team. The Scheduling Committee will then assign each team specific dates for the following responsibilities:

• Snack Bar shifts
• Chalking — home team
• Scorekeeping — home team
• Field cleanup
• Opening Day
• Family Day

The Head Coach will work with the Team Mom to coordinate these responsibilities and assign shifts to the families on the team, similar to how team snack schedules are currently organized.  If a parent is unable to cover their assigned shift, they may trade shifts with another family or make other arrangements to ensure the responsibility is covered.

Our goal is for this new process to provide DGS with the volunteer support we need while eliminating the $300 Volunteer Deposit that families have been asked to provide in the past

Volunteer Responsibilities

Snack Bar

The snack bar is DGS's #1 source of revenue. Keeping the snack bar open and properly staffed is extremely important because that revenue helps us keep registration costs as low as possible. If a team's assigned snack bar shift is not covered, the team will forfeit its next game.

Families will have three options to cover their assigned shift:

1. Work the snack bar shift themselves.

2. Have another family member work the shift.

3. Pay a teen $30 to cover the 2 1/2 hour shift.

Chalking

Before a team's home game, the field needs to be properly chalked.  When parents are unable to help with chalking, this responsibility falls on the coaches. This takes valuable time away from coaches who should be focused on warming up the players, preparing lineups, and getting the team ready to play.

Scorekeeping (Excluding 6u)

The home team is responsible for providing the primary scorekeeper for each game using GameChanger. Every game needs a scorekeeper. When a team does not have a parent available to keep score, the responsibility again falls on the coach, taking their attention away from teaching and supporting the players during the game.

Training will be made available for those who do not know how to use the GameChanger app.  We encourage families to take advantage of this opportunity so more parents feel comfortable helping with scorekeeping.

Field Clean-Up

Before the Spring season begins, we ask for volunteers to help prepare the fields and surrounding areas for games. Tasks include:

• Trash pickup
• Removing weeds and leaves from the fields and dugouts
• Completing any additional landscaping or general cleanup as needed

Opening Day

Opening Day is when we officially kick off the Spring season! We introduce the teams to families and celebrate with the first games of the season.  To help make the day a success, we ask for parent volunteers to assist with:

• Event setup, including setting up the balloon arch
• Cleanup before, during, and after the event
• Snack bar shifts throughout the day

Your help ensures Opening Day runs smoothly and creates a fun, memorable experience for our players and families.

Family Day

This year, we will be hosting a Family Day featuring softball games all day, vendors, and fun activities for the entire family to enjoy. Activities may include vendors, a bounce house, a water slide (weather permitting), and other exciting attractions.  To help ensure everyone has a safe and enjoyable experience, we ask for parent volunteers to:

• Monitor activity stations to help keep children safe and ensure everyone has fun
• Assist with event setup and cleanup as needed
• Fill snack bar shifts throughout the event

How This Helps DGS

This new process will also help reduce the administrative workload for the Board. Instead of tracking volunteer hours and deposits for every family throughout the season, we can focus that time and energy on other important areas of the league, including field improvements, equipment, scheduling, and creating a better experience for our players and families. We believe this new volunteer strategy will provide a better experience for families while still giving DGS the support it needs to operate successfully.

Our goal is to make this process work for everyone. However, if we do not receive the volunteer support needed to operate the league, DGS may have to reconsider the process in the future. This could include reinstating a Volunteer Deposit or increasing registration fees to cover the cost of paid snack bar coverage.

Thank you for your continued support of Dixon Girls Softball. We appreciate everything our families do to help make the league successful and, most importantly, provide a great experience for our girls.

Payment Plans

This year, due to increases in league expenses, including insurance and other operating costs, we needed to increase registration fees by $25. This is the first registration fee increase we have made in several years.

We compared our registration fees with other local softball programs, as well as other youth sports programs in Dixon, including soccer and basketball, to make sure our costs remain as affordable as possible.

To help families manage the increase, we also changed our payment plan from two monthly payments to three monthly payments.

The first payment will be slightly higher than the final two payments because it helps cover the initial costs of insurance and uniforms.

We hope this payment structure makes registration more manageable for families and helps make it possible for even more girls to participate in Dixon Girls Softball.

Move-Up Requests

If you feel your daughter is ready to move up to the next division, you will have an opportunity to request a move-up.

After completing registration, you will be able to fill out a Move-Up Request Form.  During Spring Assessments, your daughter will participate in assessments for both the division she is registered for and the division she is requesting to move up to.  This process is in place primarily for safety reasons. We want to make sure every girl is physically and developmentally ready to safely compete at the next level.

Is your girl ready to move up a division?  Enter your request HERE after she's enrolled!

Buddy & Coach Requests

We make every effort to honor buddy requests whenever possible.  If there is a friend or family member you would like your daughter to be paired with, please enter their name in the appropriate field during registration.

For a buddy request to be considered, both girls must request each other.

For example:

Girl A requests Girl B

Girl B requests Girl A

Requests that form a "daisy chain" will not be considered. For example:

Girl A requests Girl B

Girl B requests Girl C

Girl C requests Girl D

If there is a specific coach you would like your daughter to play for, you may also submit a coach request during registration.

Please keep in mind that buddy and coach requests are not guaranteed. However, we will make every effort to accommodate these requests while also balancing teams and doing what is best for the league and the girls.
